Terms & Conditions for Nashville Private Rides
By booking transportation services with Nashville Private Rides, whether by phone, email, text message, website form, or any other method, you agree to the following Terms & Conditions. These terms apply to all reservations, services, and communications provided by Nashville Private Rides.
SMS Messaging Terms
By opting into our SMS messaging service, you agree to receive text messages from Nashville Private Rides related to bookings, trip confirmations, trip updates, reminders, customer support, and other relevant service-related information. You may also receive occasional promotional or marketing messages.
Message and Data Rates: Your mobile carrier may charge fees for sending or receiving text messages, especially if you do not have an unlimited texting or data plan.
Message Frequency: Message frequency may vary depending on your service activity, booking requests, and communication preferences.
Opt-Out: You may opt out of SMS messages at any time by replying STOP or CANCEL to any message, by emailing info@nashvilleprivaterides.com, or by calling +1 (615) 810-1007. After opting out, you may receive a final confirmation message, and your number will be removed from our active SMS list within a reasonable timeframe.

General Terms & Conditions
By placing a reservation with Nashville Private Rides, you accept and agree, without limitation or qualification, to these Terms & Conditions.
You authorize Nashville Private Rides to charge the payment method provided for all charges related to your reservation, including transportation services, wait time, damage fees, cleaning fees, parking, tolls, and any additional approved charges.
A deposit may be required to confirm certain reservations. Unless otherwise stated at the time of booking, deposits are non-refundable and non-transferable.
Service time may be billed from the time the vehicle departs for your assignment until the vehicle is released from service, depending on the type of booking. Nashville Private Rides is not responsible for delays or service issues caused by circumstances beyond our reasonable control, including but not limited to weather, road conditions, traffic, accidents, airline delays, GPS interruption, customer-provided errors, or vehicle issues requiring operational adjustments.
We reserve the right to substitute vehicles when necessary based on availability, maintenance needs, or operational requirements.
Reservations and Confirmations
All new reservations, updates, and service changes must be made directly through our office or authorized booking channels, not through chauffeurs unless specifically instructed otherwise.
A confirmation may be sent to the email address or phone number provided by the customer. It is the customer’s responsibility to review all confirmation details and notify us promptly of any corrections.
Rates quoted at the time of booking may be based on the information provided and may be subject to adjustment for additional stops, waiting time, route changes, parking, tolls, airport fees, holiday surcharges, or other service-related factors.
Accepted forms of payment may include major credit cards, debit cards, and other approved payment methods. A valid payment method may be required to secure a reservation.
Cancellations and Changes
Deposits, when collected, are non-refundable and non-transferable, unless otherwise agreed in writing.
Cancellation policies may vary depending on the type of service reserved. Unless otherwise stated at the time of booking:
- Cancellations made too close to the scheduled pickup time may result in partial or full charges.
- Same-day cancellations may be billed at the full service rate.
- No-shows will be billed in full.
- Reservation changes are subject to availability and may result in additional charges.

In the event of a national emergency, government restriction, or other major disruption that prevents service, any credits or rescheduling options will be handled at the discretion of Nashville Private Rides.
Airport Pickups and Transfers
Airport pickup and drop-off rates may be offered as flat-rate or fixed service pricing depending on the service area and reservation type.
Airport arrivals may include a grace period. Additional wait time beyond the included grace period may be billed in increments determined by the vehicle type or booking category.
We make reasonable efforts to accommodate delayed or early flights, but all flight adjustments are subject to scheduling availability.
Point-to-Point Transfers
Point-to-point transfer service applies to direct transportation between designated pickup and drop-off locations.
A limited grace period may be included. Additional waiting time, extra stops, or route changes may result in additional fees.
Hourly Service
Hourly service is available for reservations requiring flexible routing, multiple stops, or dedicated vehicle access over a period of time.
A minimum number of billable hours may apply depending on the day, vehicle type, service type, or event schedule. Travel time may be billed based on dispatch location, garage-to-garage service, or the structure of the specific reservation.
Passenger Conduct
For the safety of all passengers and chauffeurs, Nashville Private Rides reserves the right to refuse or terminate service to any individual who:
- Appears to be excessively intoxicated or impaired
- Possesses illegal drugs or unlawful weapons
- Behaves in a dangerous, abusive, or disruptive manner
- Violates vehicle safety rules or chauffeur instructions
Alcohol consumption by passengers under the legal drinking age is strictly prohibited.
Smoking, vaping, or the use of prohibited substances in any vehicle is not allowed and may result in a minimum cleaning or damage fee, immediate termination of service, and no refund.
Excess Cleaning and Damage
The customer is financially responsible for any damage caused to the vehicle during the period of service, including but not limited to:
- Excessive trash
- Spills
- Burns
- Broken components
- Vomit
- Smoke or odor removal
- Interior or exterior damage
A minimum cleaning or damage fee may apply, and additional repair or restoration costs may be charged when necessary.
Additional Charges
Additional charges may apply for:
- Extra stops
- Extended wait time
- Tolls
- Parking
- Airport fees
- Requested amenities
- Holiday service
- Route changes
- After-hours service
- Administrative or processing fees
Any such charges will be added to the final reservation total where applicable.
Holiday and Peak Service
Holiday and peak-period reservations may be subject to increased pricing, minimum hour requirements, or special booking terms. This may include high-demand dates such as:
- New Year’s Day
- Easter
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving
- Christmas Eve
- Christmas Day
- New Year’s Eve
Additional rates or surcharges, when applicable, will be communicated during the booking process.
Chauffeur Accommodations
For overnight or long-distance travel requiring chauffeur lodging or meals, the client may be responsible for reasonable related expenses unless otherwise agreed in advance.
Limitation of Liability
Nashville Private Rides shall not be held liable for delays, losses, missed appointments, or service disruptions caused by circumstances beyond our reasonable control, including but not limited to weather conditions, traffic congestion, road closures, mechanical issues, airline delays, or inaccurate information supplied by the customer.
To the fullest extent permitted by law, our liability for any claim relating to our services shall be limited to the amount paid by the customer for the affected reservation.
Changes to Terms
Nashville Private Rides reserves the right to update or modify these Terms & Conditions at any time without prior notice. Any revised version will become effective when posted on our website.
